You change working hours on the Attendance page — Monday through Thursday, 9 to 6 — hit save, and feel done. Two weeks later someone opens Remote Work and still sees “we work Monday through Friday.” Same handbook. Two answers.
That gap is why we built handbook-wide AI edits: edit in one place — we check the whole handbook. Describe a change on the page you're looking at; if it's a company-wide fact, we look for related pages and let you update them in one click.
Why this post exists
Keeping policies current is half the job — see our guide on how to maintain an employee handbook. The other half is making sure a single fact change doesn't leave stale copies behind.
This post explains why we built that check into Describe edits — not just how the button works.
Company facts don't live on one page. Hours show up in attendance, remote work, and onboarding. The company website or domain appears in IT, communications, and the welcome section. Leave balances show up in benefits and time-off policies.
Generic AI never saw the other pages
Chatbots are great at rewriting the text in front of them. They are terrible at knowing that your PTO page also mentions the same hours you just changed on Attendance — unless you remember to paste that page too. We wrote more about that gap in ChatGPT vs employee handbook software.
A blog post can be wrong in one place. A handbook that contradicts itself becomes a liability — for onboarding, for managers answering questions, and for audits.
One source of truth still means many pages
A digital employee handbook fixes the “which PDF is current?” problem. It doesn't automatically fix “I updated one page and forgot the others.” That's the consistency problem we wanted AI to help with — inside the handbook, not in a side chat.
Describe edits already lets you rewrite the page you're on with a short prompt — with Undo and Accept so you stay in control. That solved single-page editing. It didn't solve the rest of the handbook.
So after a successful rewrite, we ask a simple question: was this a page-local tweak (tone, wording, structure), or a business-level fact other pages might also state?
Edit in one place — we check the whole handbook
That's the product decision: AI should understand that your handbook is a connected set of pages with shared facts — not a pile of isolated prompts. Learn more on our AI writing feature page.
The difference isn't “we also have AI.” It's that the AI sits inside your live handbook with the full context around it — company details, related sections, and the pages employees actually read.
| When you edit a policy | ChatGPT / Claude | HandbookHub |
|---|---|---|
| Context | Only the text you pasted into the chat | Your full handbook + company context |
| Scope of the edit | One chat reply you copy back | Current page — then related pages if the fact is company-wide |
| Consistency | You re-hunt every mention yourself | We suggest pages that may still say the old fact |
| What you end up with | A revised paragraph in a transcript | Live handbook pages with version history |
| Control | Hope you pasted every section that mattered | You choose which related pages to update |

| Before | With handbook-wide AI edits |
|---|---|
| Rewrite one page; hope you remember the others | Rewrite one page; see related pages that may need the same fact |
| Paste sections into a chatbot one by one | Describe the edit once inside the live handbook |
| Stale facts linger until someone notices | One-click surgical updates with Version History backups |
What teams get
Handbook-wide edits sit on top of the AI and collaboration workflow you already use:
Shipped in changelog 1.34.0 alongside Describe edits.
When your prompt looks like a company-wide fact — hours, leave, location, company name, website/domain, and similar — not for tone, typos, or “make this section friendlier.” If we find other pages that may still state the old fact, we show them after the current page rewrite.
No. We suggest pages; you choose which ones to update. The source page still has Undo / Accept. Related pages save a prior version so you can restore from Version History if needed.
Chatbots only see what you paste. HandbookHub edits live pages with your full handbook and company context, then checks whether the same fact appears elsewhere — so you're not left hunting every mention by hand.
Employee handbooks aren't a single prompt. They're a web of pages that share facts. We built handbook-wide AI edits so changing one of those facts in one place doesn't leave the rest of the book behind.
Try it: open a handbook page, describe a company-wide change (hours, domain, leave), accept the rewrite on that page, then update the related pages we suggest — or skip them if they don't apply.
